Cancel, Withdraw, Drop, or Add a Course

Cancellation Policies

Definition: A cancellation occurs when a student drops all course sections for a term before classes begin.

A student who has enrolled in a single course section or multiple course sections and later decides not to attend the University must cancel his or her registration(s) prior to 5:00 PM (Central Standard Time) on the day before the first day of instruction.

The official cancellation must be received in the Division of Academic Outreach no later than 5:00 PM (CST) on the day before the first day of instruction. All students are responsible for knowing that the official campus cancellation policy becomes effective at 12:01 a.m. (CST) on the day before the first day of instruction each term. The dates for the first day of instruction for regular campus semesters can be found here. For courses using a different calendar (8-week terms, for example), consult the dates in the Academic Outreach course catalog; for self-paced courses that can start at any time during the year, please contact the Academic Outreach registration staff (outreachinfo@uiuc.edu) as promptly as possible.

Cancellation Refund Policies

Official cancellation results in a 100% refund of tuition and fees or credit to the student’s account. A student who has not submitted a cancellation as of 5:00 PM (CST) the day before the first day of instruction is enrolled in courses and is obligated to pay all assessed tuition and fees. If the student leaves the University after the cancellation deadline, he or she must officially withdraw from the University. Students who withdraw from the university are subject to the University regulations governing withdrawals. (See below)

Withdrawal Policies

Definition: Dropping all course sections on or after the first day of instruction for on-campus classes results in a withdrawal for that term.

All students are responsible for knowing that the withdrawal policy becomes effective at 12:01 a.m. (CST) on the first day of instruction for on-campus classes. The dates for the first day of instruction for each regular campus semester can be found here. For courses using a different calendar (8-week terms, for example), consult the dates in the Academic Outreach course catalog; for self-paced courses that can start at any time during the year, please contact the Academic Outreach registration staff (outreachinfo@uiuc.edu) as promptly as possible.

Withdrawal Refund Policies

A student who either fails to officially withdraw from the University, or withdraws following the refund period, is responsible for payment of all tuition and fee charges. Refunds for withdrawals from the University are governed by the campus’ pro-rata refund schedule. Individual tuition refunds are calculated using a pro-rata refund schedule and are based on the withdrawal date and length of the course. Since the University has a pro-rata refund policy, withdrawals cannot be backdated.

A student who officially withdraws from the University on or before 60 percent of the instruction period has elapsed shall receive a refund or credit to his or her account. Students who officially withdraw within the defined refund periods receive a pro-rata refund (or credit) of tuition based on the date when the Withdrawal Form is received by Academic Outreach. The assessed tuition is refunded on a pro-rata basis less a processing fee of 5 percent (5%) of the assessed amount or one hundred dollars ($100), whichever is less. The Academic Outreach administrative course fee is non-refundable, as are some other special fees.

Before a refund is made to the student, the University must make a refund to appropriate financial aid programs providing assistance to the student. In addition, when a student is indebted to the University at the time of withdrawal the refund will be adjusted accordingly.

NOTE: A student may not officially withdraw after the University’s discipline system has initiated action against the individual until the hearing of the case has been conducted.

Cancellation and Withdrawal Procedures

The procedure to cancel an enrollment or withdraw from the University follows:
Submit the Academic Outreach “Change-of-Status” form. The effective date and time of the requested cancellation or withdrawal is determined by when the completed form is received in the Division of Academic Outreach. This request must be received no later than 5:00 PM (CST) on the day before the first day of instruction to cancel an enrollment.

Dropping Course Sections

Definition: To drop is to disenroll from one or more courses while remaining enrolled in at least one course. Disenrolling from the last course results in a withdrawal. (See above.)

Students who drop a course prior to the tenth day of instruction receive a full (100%) refund of the tuition and fees. Thereafter, no refund is allowed. For the exact refund dates for a given regular term, consult the website of the Office of Admissions and Records. For nonstandard length course sections, refund periods are determined proportionately.

Graduate students may drop a course without receiving a grade of W until the end of the twelfth week of instruction in the fall and spring semesters. Deadlines may be found in the graduate calendar.

Undergraduate students may drop a course without academic penalty during the first eight weeks of instruction in a term. See the OAR website for exact dates. A college or department may place an advising hold on an undergraduate student whom they wish to talk with prior to adding or dropping a course.

For all students, a grade of W or F will be assigned to a course dropped after these deadline dates. The decision is based on the evaluation of the circumstances by the college in which the student is enrolled. For nonstandard length courses, the time frame for dropping course sections without academic penalty is determined proportionately in accordance with the above principles. In case of extenuating circumstances, a student may be permitted to drop a course without academic penalty and regardless of time if, in the judgment of the student’s college, such action is warranted.

Procedure: Students admitted to a degree program may drop a course within the first ten days of a regular term by using the UI Integrate Web for Students registration system.

For students not admitted to a degree program, the procedure for adding or dropping is to use the Academic Outreach Change of Status form.

The effective date and time of the requested add or drop is determined by when the completed form is received in the Division of Academic Outreach.

Adding Course Sections

A student may add a course during the first ten instructional days of a term. When students are allowed to add a class within the designated add period, the instructor must reasonably accommodate them in making up work they have missed. For admission to a class after the designated “Add” period, a student needs the consent of the departmental representative in charge of the course who may require the student to pass an examination in the work already covered by the class or to present other satisfactory evidence of ability to proceed with the class.

Procedure: Students admitted to a degree program may add a course within the first ten days of a regular term by using the UI Integrate Web for Students registration system.

After that period, and for all students not admitted to a degree program, the procedure for adding is to use the Academic Outreach Change of Status form.

The effective date and time of the requested add is determined by when the completed form is received in the Division of Academic Outreach.

NetMath Drop and Refund Policy

To drop or withdraw from a course, students must submit a completed Change of Status Form. Students who wish to withdraw from either program may do so at any time during the course timeframe. Tuition refunds and/or credits are processed according to the pro-rata refund policy.

For high school students enrolled in a nine-month term, the refund period is based on a student’s course enrollment date; the percentage of tuition refunded decreases on a monthly basis.

For adult students enrolled in a 16-week term, the pro-rata tuition refund timeframe is calculated as follows: A student's start date is set as two weeks after the Academic Outreach office officially registers a student in a course (the two-week delay between registration and course start date in 16-week sections is intended to allow time to acquire software and resolve technical issues). The end date is the date that the Academic Outreach office receives a student’s Change of Status form. Students in 16-week courses have 10 weeks from their enrollment date in which to drop or withdraw from a course and still receive a partial tuition refund.

The pro-rata refund policy is always effective regardless of whether a student did or did not begin a course. The Academic Outreach administrative course fee is non-refundable. Math Teacher Link Drop and Refund Policy

To drop or withdraw from a course, students must submit a completed Change of Status Form. Students who wish to withdraw may do so at any time during the course timeframe. Tuition refunds and/or credits are processed according to the pro-rata refund policy (from a student’s course enrollment date, the percentage of tuition refunded decreases on a weekly basis).

The pro-rata tuition refund timeframe is calculated from the date that the Academic Outreach office officially registers a student in a course(s) to the date that the Academic Outreach office receives a student’s Change of Status form. Students have 10 weeks from their enrollment date in which to drop or withdraw from a course and still receive a partial tuition refund.
